Wedding Coordination Package
On-The-Day Wedding Coordination
(For a couple who has planned everything and prefers to turn over wedding management on-the-day)
- 1-2 months prior to the event
- 3 meetings
- Coverage: Dressing Venue-Wedding Ceremony-Reception
- 5 coordinators
- The couple shall provide full meals & snacks for the coordinators at the dressing venue until reception
Pre-Function
- Photocopied supplier’s contract should be turned-over to the coordinator
- Confirmation of bookings with the suppliers
- Follow-up on last minute wedding details
- Finalization of the on-the-day event details
- Planning of the program of activities on the actual function
Dressing Venue
- The team arrives 4 hrs before the ceremony
- Assistance on the needs of the bride
- Supervision of the arrival of concerned suppliers (i.e. entourage flowers, make-up artists, photo/video &/or couturier)
- Collect & transport the materials needed for the church (entourage flowers, missalette, offertory goods, ceremonial accessories & effects) and reception (souvenirs for the guests & sponsors, effects & additional reception food & beverage, materials for the games, signature album, guest list & reception program)
- 1-2 coordinates shall be proceed at the reception while the rest of the coordinators go to the church
Wedding Ceremony
- Coordinators arrive at least 1 ½ hrs before the start of the ceremony
- Supervision of physical arrangement & design
- Coordination of the timely delivery of products & services of the concerned suppliers (artists, church florist, priest & other church officials)
- Receive guests in behalf of the couple and their relatives if they haven’t arrived yet at the church
- Distribution of the entourage flowers & other church materials
- Organize & cueing of the processional, offertory & recessional lines
- Assistance of the bride for the bridal march/entrance
- Cueing of the secondary sponsors, readers on the ceremony proper
- Cueing of the special effects (if necessary)
- Cueing of the pictorial sequence after the ceremony
- Will be collecting back the match, veil, cord, pillows, coins, bible, rosary, unity candle, pens etc.
Reception
· Supervision of the physical arrangement & design
· Coordination of the timely delivery of products & services of the concerned suppliers at the reception
· Receiving, guest registration & ushering of guests & VIPS
· Numbering, Listing & Safekeeping of gifts to the couple
· Over-all direction of the reception program flow
· Assembling of the entourage for the parade (if necessary)
· Assisting the emcee during the program proper
· Distribution of the souvenirs for the principal sponsors
· Cueing for the special effects & songs on program highlights
· Distribution of the souvenirs for the guests towards the end of the program or upon exit
· At the end of the event, the coordinators shall surrender the ff: numbered gifts w/ corresponding list of names, signed signature album or frame, guestbook, church materials, packed food etc.
Semi-Coordination
(The couple has already booked 50% of the suppliers and turning-over to the coordinator the wedding preparation for management & supervision)
- 3-4 months prior to the event; 6 meetings
- Coverage: Dressing Venue-Wedding Ceremony-Reception
- 5 coordinators
- The couple shall provide full meals & snacks for the coordinators at the dressing venue until reception
Pre-Function
- Same as Full Coordination except that the couple has booked 50% of the suppliers
Full Coordination
(For a couple who prefers to delegate entire planning and coordination of their wedding from conceptualization to execution)
- 6 months - 1 year prior to the event; 9 meetings
- Coverage: Dressing Venue-Wedding Ceremony-Reception
- 5 coordinators
- The couple shall provide full meals & snacks for the coordinators at the dressing venue until reception
Pre-Function
- Assistance in the conceptualization and planning & budgeting of the event with the couple
- Discuss the details & requirements for the event
- Assistance in reservation & referral of all wedding suppliers/vendors
- Assistance in the submission of the legal documents to the church
- Assistance with the invitation wordings & details
- Attend appointments with and/or in behalf of the couple
- Management of guest, floor plan lay-out & seating arrangement
- RSVP (service only)
- Finalization of the on-the-day event details
- Planning of the program of activities on the actual function
The packages above are at maximum of 200 guests. Additional guests would be needing additional coordinator/s depending on the final no. (at a minimal cost).
